Privacy Policy

What we collect when you post or pick up a shift, what we do with it, who sees it, and how to get it changed or deleted. The documents you upload for verification are held to a stricter standard than everything else.

Effective November 3, 202614 sections

1. What this policy covers

This Privacy Policy explains how MaidMessenger (“we,” “us,” “our”) collects, uses, discloses, and safeguards personal information when you use maidmessenger.com, our mobile-friendly app, and the shift marketplace inside it (together, the “Platform”).

  • It applies to hotels and other businesses that post shifts, to housekeepers who apply and work, and to visitors of our marketing pages.
  • It forms part of our Terms of Service. If you do not agree with it, do not use the Platform.
  • We do not sell your personal information, and we do not share it for advertising.

2. Who is responsible for your data

MaidMessenger is the organisation that decides how your personal information is handled on the Platform, and can be reached at maidmessenger@gmail.com.

Where you are a housekeeper working at a hotel, that hotel is separately responsible for personal information it collects about you while you are on its property — for example a visitor log, a key handover record, or an incident report. That use is governed by the hotel's own practices, not by ours.

3. Information we collect

We only ask for what is needed to match shifts, verify people, and pay for work.

  • Account details: name, email address, phone number, password, and the role you sign up for (hotel or housekeeper).
  • Hotel details: business name, property address and contact, and the people you invite to manage the account.
  • Housekeeper application and verification: city, postal code, how far you will travel, availability days and times, hours per week, a government-issued photo ID, proof of address, and any certifications you choose to upload.
  • Work data: shifts posted, claimed, confirmed, completed or cancelled, the messages you send through the Platform, ratings, and reviews.
  • Active-shift location: while a housekeeper has an active job and MaidMessenger is open, the app sends a precise location update about once a minute. The last location is shared with that hotel's team during the job and used to calculate location-confirmed billable time. Longer gaps than the owner-configured allowance are not counted as paid time.
  • Payment data: the card or bank details needed to charge a hotel or pay a housekeeper. Card numbers are held by our payment processor, not by us — we keep only the last digits and the billing name.
  • Technical data: device type, browser, IP address, approximate location from IP, pages and screens viewed, and app events such as a status-page refresh. This is collected with cookies, browser storage, and similar technology.
  • Information from trusted screening partners: background-check or reference results, where you have asked us to obtain them and where the law allows.

If you do not give us the verification documents we ask for, you can still browse, but we cannot approve you for work.

4. ID documents and other sensitive information

The documents you upload are the most sensitive thing we hold, so we handle them separately from the rest of your profile.

  • Uploaded files are stored in a private, non-public location. They are not served to a public web address and cannot be listed or guessed.
  • Only the people who need them can open them: our verification reviewers, and only while your application or a re-check is being reviewed.
  • We do not give your ID document to a hotel. A hotel sees your name, your verified badge, your service area, your availability, and your rating — not your document.
  • Do not send us documents belonging to someone else, and do not upload anything that is not yours.
  • If you upload a file by mistake, tell us at maidmessenger@gmail.com and we will delete it.

We do not intentionally collect religious beliefs, political opinions, health data, or biometric data. If a document you upload reveals something like that, please tell us and we will handle it as sensitive.

5. How we use your information

  • To create your account, keep it secure, and let you sign in.
  • To review housekeeper applications, run verification and background checks, and decide whether to approve, reject, or ask for changes.
  • To match shifts with nearby, available housekeepers and to show hotels the profiles they need in order to choose someone.
  • To run the messaging, confirmation, scheduling, rating, and status-tracking features.
  • To process payments, fees, refunds, and cancellations, and to keep financial records.
  • To reach you about a shift you hold, to send service or safety notices, and to answer your messages.
  • To investigate misuse, fraud, or safety reports, and to enforce our Terms.
  • To improve the Platform — aggregate statistics on match times, cancellation patterns, and coverage.

We use automated matching to suggest and rank housekeepers for a shift. We do not use automated decision-making that produces a legal or similarly significant effect on you without a human reviewer — every application decision is made or checked by a person.

6. Who we share information with

We share only what is needed for the shift to happen, and never for advertising.

  • Hotels and housekeepers: to make a booking possible, your profile, name, service area, availability, ratings, and reviews are visible to the other side once you are in the marketplace. Booking details and, during an active job, the housekeeper's latest shared location and tracked billable time are visible to the hotel team for that shift.
  • Screening and verification partners, where you have authorised a check.
  • Our payment processor, to charge a hotel or pay a housekeeper.
  • Service providers who host our data, store files, send transactional email and SMS, provide analytics, or supply customer support tools. They act on our instructions and are contractually limited to that work.
  • A business acquirer: if we merge, are sold, or transfer assets, customer data may be part of the transfer — we will tell you where the law requires it.
  • Authorities or courts, where we have a legal obligation, a valid request, or a good-faith belief that disclosure is needed to protect someone's safety, rights, or property.

You are responsible for the personal information you put in a message, a review, or a shift description. Think before you include a guest name, a room number, or a door code.

7. Cookies, storage, and analytics

We use strictly necessary cookies and browser storage to keep you signed in, remember your settings, and protect the Platform from abuse. Your sign-in session is kept in your own browser's storage on this device.

We also use analytics technology that tells us which screens are used, how long matching takes, and where people drop off. This helps us fix problems and improves the service.

You can clear or block cookies in your browser settings. Blocking necessary storage will stop sign-in and other core features from working.

8. How long we keep information

  • Verification documents: kept while your application is being reviewed and while your account is active, and deleted within 24 months of a final decision if you are never approved or you close your account — unless we must keep them longer for a legal reason or an open investigation.
  • Profile, availability, and rating data: kept while your account is open.
  • Messages and shift records: kept while needed to resolve disputes, calculate earnings and fees, and protect safety.
  • Invoices, payouts, and tax records: kept for the period tax and company law requires, commonly seven years.
  • Backup copies: deleted data is removed from routine backups within 30 days.

When we can no longer lawfully keep something, we delete or permanently de-identify it.

9. Your choices and rights

Wherever you live, you can ask us to:

  • Confirm what we hold about you and get a copy of it.
  • Correct anything that is wrong — or update it yourself in your profile settings.
  • Delete personal information we no longer need, subject to records we must legally keep.
  • Stop processing your information for analytics or improvement work.
  • Withdraw consent for a background check or for marketing messages.
  • Get your data in a portable format so you can move it elsewhere.
  • Ask us to explain or challenge a decision we made about your application.

Send the request to maidmessenger@gmail.com and we will verify who you are before answering, usually within 30 days. You can opt out of marketing at any time with the unsubscribe link in the message, and we will still send you shift and safety notices you need.

10. Where we store information

The Platform is operated from Canada, and our providers may store or process data in Canada, the United States, or other countries with suitable safeguards.

Where information crosses a border, we use safeguards such as contracts, standard data-protection clauses, and access controls so the protection described in this policy travels with the data.

11. How we protect information

  • Connections to the Platform are encrypted in transit, and stored data is encrypted at rest.
  • Access is limited to staff who need it, is logged, and is reviewed.
  • Documents sit in private storage with strict access rules rather than in ordinary profile fields.
  • We test for vulnerabilities, keep software patched, and restrict who can run administrative actions.

No system is perfectly secure. If a breach ever puts your information at real risk, we will tell you and the regulators as the law requires.

12. Children and account holders

The Platform is for adults who can lawfully work and enter a contract. We do not knowingly collect information from anyone under 18. If you believe a minor has given us information, tell us at maidmessenger@gmail.com and we will delete it.

13. Changes to this policy

We may update this policy as the Platform and the law change. We will post the new version here with a revised effective date, and if a change materially affects how we use your information we will give reasonable notice — typically by email and an in-app notice.

Using the Platform after a change takes effect means you accept the updated policy.

14. Contact and complaints

Write to us at maidmessenger@gmail.com and a person will answer.

  • Questions about this policy, a data request, or a document you want deleted.
  • A concern about how we handled your information, or a request to review a decision.
  • If you are not satisfied with our answer, you may complain to the privacy regulator in your region — in British Columbia that is the Office of the Information and Privacy Commissioner.

Please include enough detail for us to find your account, but do not send your ID number or a copy of your document by email.

Want a copy of your data, or want it gone?

Email maidmessenger@gmail.com and tell us what you need. We will verify who you are before we act, and we will answer within 30 days. You can also read the rules for using the Platform in our Terms of Service.
